Zola Online Tuition - Standard Policy for Online Tutors

Effective Date: 01 January 2025

At Zola Online Tuition, we strive to provide students with a high-quality and uninterrupted learning experience. Tutors are expected to adhere to the following policies to maintain professionalism, ensure consistency, and provide the best learning outcomes for students.

  1. Punctuality and Lesson Timings
  1. Be Punctual:
    • Tutors must log in to the Zola Online Tuition platform at least 5 minutes before the scheduled lesson time to prepare for the class.
    • Lessons should begin promptly at the scheduled start time and run for the full allotted duration.
  2. Late Arrival by Students:
    • If a student is late, the tutor must stay online for the entire lesson duration.
    • The class will still be recorded, and the student will not be refunded for missed time.
  1. Cancellation and Notification
  1. Advance Notice:
    • If a tutor cannot conduct a lesson due to unforeseen circumstances, they must provide a minimum of 48 hours’ notice to Zola’s administration via email or platform messaging.
    • This ensures adequate time to inform the student and arrange rescheduling.
  2. Last-Minute Emergencies:
    • If an unavoidable emergency arises (e.g., illness), notify the Zola administration as soon as possible, providing an explanation and proposed alternative dates/times.
  3. Rescheduling:
    • Tutors must propose at least two alternative times for the missed lesson that accommodate the student’s schedule.
  1. Lesson Recording and Attendance
  1. Class Recording:
    • Tutors must ensure that all lessons are recorded from the start of the session using the Zola Online Tuition platform’s recording feature.
    • This ensures that students can access the recordings for review and quality assurance purposes.
  2. Attendance:
    • Tutors must mark the attendance of both the tutor and student immediately after the completion of the lesson on the Zola platform.
    • In case of student absence or tardiness, tutors should mark the student as “Absent” or “Late” and record the session as usual.
  1. Class Environment and Tools
  1. Functional Camera and Microphone:
    • Tutors must ensure that their camera and microphone are working properly before the lesson starts to maintain a professional learning environment.
    • Tutors should appear presentable and ensure their background is neutral and free from distractions.
  2. Shared Whiteboard and Presentation Tools:
    • Tutors should prepare the shared whiteboard or presentation materials in advance to ensure they are clear, organized, and appropriate for the lesson.
    • Ensure that visuals, diagrams, and notes are legible and well-structured for the student’s understanding.
  1. Handling Student Absence or Tardiness
  1. If the Student is Absent:
    • If a student does not join the class and has not notified the academy in advance, the tutor must:
      • Remain online for the entire lesson duration.
      • Record the session for administrative and quality assurance purposes.
  2. If the Student is Late:
    • Tutors must wait for the student to join and proceed with the lesson for the remaining time.
    • The late time will not be extended or refunded to the student.
